Pull named fields from a PDF into a usable format
KINDA — AI can help, with a person in the loop.
1 method on the page: 1 agent.
Methods
Pull fields from a PDF using ChatGPT, Claude or Gemini
Steps
- Attach the PDF to a fresh chat, ideally one file per conversation so values from different documents stay apart.
- Name every field you need in plain words, instead of asking for "the data".
- Specify the output shape, such as JSON keys or table columns, and the format for dates and amounts.
- Tell the assistant to leave a missing field empty or null rather than guessing.
- Compare totals and a sample of values with the original; point the assistant to the page and row of any mistake.
- Move the result into your spreadsheet or script, and keep the prompt for the next document.
- Optional: Parsio's reusable invoice prompt is listed separately in our prompts.
- Note: Our own-words summary of Parsio's guide, in its order; the guide also covers the limits of chat-based extraction. Check totals against the original before you rely on the data.
