Build a weekly chase list and reminders for overdue invoices

Overview

Bookkeeping Prompts' prompt works from an accounts receivable aging file (aging.csv) to decide who to chase this week. It lists past-due invoices by age and amount with subtotals and moves anything disputed, credited or queried into its own held list. It confirms that the three totals (to chase, held and not yet due) add up to the file total. It then drafts a reminder per customer, friendly, firm or final depending on how late they are, without inventing payment links or fees, and you send them yourself.

I'm following up on overdue invoices for [business name, or "a small business"]. Today is [date].

I have uploaded aging.csv: customer, invoice number, invoice date, due date, amount due, notes.

Please:
1. Build a chase list of invoices that are past due. Skip invoices that are not due yet.
2. Put any invoice whose notes mention a dispute, a credit or a query in a separate "on hold" table.
3. Sort the chase list by aging bucket (oldest first), then by amount (largest first). Show bucket subtotals.
4. Show three totals: chase list, on hold, not yet due. They should add up to the total of aging.csv. If they don't, tell me.
5. For each customer on the chase list, draft a short reminder email. Use a friendly tone for 1 to 30 days late, firm for 31 to 60, and final for over 60. Include the invoice numbers, amounts and due dates exactly as they appear in the file.

Do not invent payment links, late fees or deadlines. I will review and send the emails myself.

Alternatives

  • Chase late freelance invoices with escalating remindersThis prompt takes a list of unpaid invoices from a freelancer and sorts each into an aging bucket, from current to 90 or more days overdue. It picks a reminder stage for each one on a five-stage ladder and drafts a short, polite message in your voice. It also flags clients with several overdue invoices or disputes, and adds a follow-up calendar. It returns strict JSON and does not offer legal or tax guidance.Business automation
  • Ask a seller for a refund, then draft a card dispute if refusedAn Agents Handbook prompt for ChatGPT that organizes a failed purchase into a dated timeline, lists the routes open to you (asking the seller, a card dispute, or a claim with the payment service) with deadlines and official pages to check, then pauses for you to confirm. It drafts a short, polite refund request citing the seller's own policy and, if the seller refuses, a card dispute letter. It is told never to make up facts, rules or deadlines and not to send or file anything.Personal assistant
  • Turn a week of saved links into a newsletter draft in your voiceAn Agents Handbook prompt that turns a week of saved links into a draft newsletter issue. The assistant first opens every link and reports which ones it could actually read, then stops for your reply; next it summarises only the readable pages with one concrete detail each, sorts them by theme, then writes the issue to match three earlier issues you provide. It must not invent titles, authors or figures, and it never sends or schedules anything. Check each summary against its link before you send the issue yourself.Marketing
  • Build a sales quote with a guided agentThis prompt describes an agent for sales reps that builds a quote through a guided chat. It collects the customer and rep names, then adds products one at a time with quantity and an optional discount, and shows line totals and an overall total. After the rep confirms, it creates a reference number and offers to email the quote or keep it as a draft for later.Sales
  • Research a list of accounts and draft cold emails for reviewAn Agents Handbook prompt for Claude Cowork that researches a list of accounts against your ideal customer profile, scores each for fit and writes nothing for poor fits. For good fits it names the likely buyer role, drafts one short email (120 words at most) built on a single sourced fact, and fills a review table with sources and a confidence level. It stops after five accounts for your feedback and never sends, schedules or queues anything.Sales
  • Tidy and dedupe a contact export while keeping every real recordAn Agents Handbook prompt for a coding agent such as Claude Code that cleans a messy contact or company export. It profiles the file and stops for you, standardises contact fields into added columns, merges rows only when a reliable identifier matches exactly and logs each merge, and sends near matches to a review sheet. It then checks in code that every row is accounted for and never touches the original file or the CRM. Customer lists can fall under contract or privacy rules, so check before you give one to an agent.Business automation
