Match receipts to bank transactions in eight steps
Agent that runs code
Accounting software
Steps
- Gather the month: bank lines, your chart of accounts, last month's categorised lines and the receipts, and note the statement's closing balance.
- Have the agent confirm that the starting balance plus the month's transactions adds up to the statement's end figure, and fix the export first if it does not.
- Let the agent read the receipts and pair them with bank lines in code, expecting a few unreadable images and foreign-currency items to come back to you.
- Go through the list of suspected duplicates yourself and decide for each pair whether both stay.
- Accept or change each suggested category, watching for easily confused ones like hosting, software subscriptions and direct costs.
- Track down receipts for bank lines that have none, writing or approving each request yourself.
- Send the open tax questions, such as VAT or sales tax, to your accountant with the workbook, and leave tax treatment to them.
- Post the lines you approved into your accounting system, run its bank reconciliation until there is no difference, and lock the period.
- Optional: The Agents Handbook page has a full agent prompt for steps 1 to 3; it is linked there, not copied here.
- Note: Work on exports rather than live bank access, and leave tax treatment to your accountant. The steps are in source order, restated in our own words from the Agents Handbook (CC BY 4.0). Repeat monthly.
